Purpose:

To allow compliance with security issues an additional module for the current cash receipting / management system is proposed to be purchased. Investigation of the various options has identified that this is the cheapest option for the Council. Alternatives would not automatically link in to any existing cash management systems and would therefore require a significant level of additional officer time to reconcile payments made to the Council and increase the risk of error.

Decision:

To purchase a new module for the current AIM income system operated by Capita to allow 4 concurrent card payments to be taken over the phone using the Call Secure system.

This is a variation order to the existing contract which will introduce a new method of payment within existing arrangements.

Alternative options considered:

Option 1 - Alternative solutions were discounted as they would not adequately interface to existing cash management systems / processes. The additional module therefore provides value for money as the ongoing annual costs of £4,250 is significantly less than the officer time that would be required to manage an alternative process of interfacing between systems.
